Appetizer math turns entirely on one question: is dinner coming, or is this it? Caterers plan wildly different numbers for the two cases, and hosts who split the difference end up in the worst spot โ too much food to precede a meal, nowhere near enough to be one.
The two regimes

Hosting over the 6โ8pm window without dinner puts you in the 10โ14 regime whether you intended it or not โ guests arrive hungry and there's no meal coming to rescue you.
How many kinds to make
Variety scales with guest count, but slower than people think:
- Up to 10 guests: 3 varieties
- 10โ25 guests: 4โ5 varieties
- 25โ50: 6โ7
- 50+: 7โ8, and no further โ beyond eight you're running a restaurant
Within any spread: one vegetarian option minimum (a third of pieces), one substantial/hot item, one cold make-ahead, and nothing that requires last-minute assembly for more than one variety. The make-ahead discipline is the same logic as the batch cocktails rule: the host must exist at their own party.
Worked examples
Cocktail hour for 30 before a wedding dinner
30 ร 5 pieces = 150 pieces across 5 varieties = 30 pieces of each. Caterers' portion trays run 25โ50 pieces, which is why this math lands neatly on tray counts.
Apps-as-dinner party for 20
20 ร 12 = 240 pieces across 6 varieties = 40 of each. This is genuinely a lot of cooking โ it's the moment to buy 2 of the 6 varieties ready-made and spend your effort on the other four. Nobody has ever audited the provenance of a devilled egg.
Pairing with the bar
Salty, fatty appetizers push drink consumption up noticeably โ caterers plan an extra half-drink per guest when food is heavily salted. If your spread leans that way (cured meats, cheese, fried things), nudge the drink calculator toward its higher setting and add ice accordingly via the ice calculator.
